First and foremost, the company extends its heartfelt appreciation to all the clients who have chosen Reasonable Treks and Tour Pvt. Ltd or even considered us as your trekking agency, we are pleased to make our services available to you. Reasonable Treks and Tour Pvt. Ltd is a travel and tour company which is legally registered 170876/074/075 – Company Registration Number under the different departments of the Government of Nepal and is a fully licensed company standing at the very heart of Kathmandu, Thamel Marg. The Chairman of Reasonable Treks and Tour Pvt. Ltd is Mr. Anil Dhungana who puts in his visions and goals on the overall operations of the company.

Guest Agreement and Declaration

The Terms and Conditions state significant rules and obligations about the Booking Confirmation, Payment, Refund, Cancellation and other charges levied as the Company’s Privacy Policy. By signing the contract, you will be officially and legally bounded with us and the company is entitled to think that you have agreed to all the terms and conditions mentioned below. Therefore, please make sure you have read and understood all the Terms and Conditions clearly and have agreed to them before booking a trip with us.

Note: The term “Trip” mentioned in this website refers to all the adventures and travels designed, including treks, hiking, tours, sightseeing, climbing, etc. by the company.

Terms and Conditions of Use

Booking

The booking conditions legally bind you to the Reasonable Treks and Tour Pvt. Ltd and all the bookings are made under the supervision of the company.

In order to book a trip with us, first, a payment of 25% of The Total cost must be paid to the company. However, this varies in the case of Tibet And Bhutan, for which you have to pay 30% of the total cost as the procedures to arrange a trip to these two places are more challenging. You will have to pay the amount after you have carefully filled up a Booking Application Form and submitted to the company. Please note that this initial booking deposit is non-refundable. The rest of the amount, i.e. 75 % for Trips in Nepal And 70% for Tibet And Bhutan, will have to be paid upon your arrival at Kathmandu before the tour. You will receive the final documents after all the procedures and payments have been cleared.

Payment Options and Method

There are two options to make the payment i.e. Bank Transfer and Credit Cards (Master/Visa/American Express/Union Pay/JCB/SCT Card.). In the Booking Application Form given to you, you will have to mention the preferred form of payment along with the details of your card if you’re using Credit Card as the mode of payment. However, The 75% or 70 % (in case of Bhutan and Tibet) which is the remaining cost of the total amount should be paid in cash upon your arrival at Kathmandu before departing for the trip.

Please be aware that while using Credit Card for the payments, you will be subjected to 3.5% surcharge for all the payments including deposits, final balances, trip extension and miscellaneous. The purpose behind these surcharges is to provide customers with sufficient protection for the services they purchase in accordance with the terms and conditions pertaining to the credit card being used. These surcharges are imposed by the credit card payment service provider (Himalayan Bank Limited) and not by the company.

Cancellation

Any cancellation of trips or bookings must be notified to us via email or a letter, however, it has to be in a written form. Please be aware that the company will not be liable for any voluntary breach of contract or trip by the customer. If in any case you are forced to leave the trip, the company holds every right to decide whether to make any refunds or not. Kindly note that the company will not make any refunds or reuse the cost remained from services, for example, from accommodation, transportation, sightseeing, meals that were left unutilized by the customers at the end of the trip. Canceling any trip booked by the company will be at the discretion of the company before signing the legal contract else the trip is guaranteed to run. The trip is guaranteed to run once it has at least two fully paid travelers unless minimum numbers are stated otherwise. However, these conditions are subjected to change considering the circumstances and the necessity of the situation.

Although the trip has to adhere to the itineraries prepared, there will be chances of cancellation of trips in case of any unfavorable circumstances such as unforeseen natural disaster, industrial action, riots, quarantine, government intervention, weather and health condition of the group member to mention a few. If such cases are to take place, although rare, the 25% deposit will remain non-refundable. However, the remaining 75% can either be refunded (13% deduction as Government Tax) or can be reused for other trips immediately following season of the same year or the alternative trip of the same value (as per your choice). The same amount marked for the trip that you had chosen initially can be used within one year of the booking date. Also, giving us a prior notice of the cancellation, approximately a month before the departure date, could result in the reuse of 100% of the total charged amount. A cancellation notice received 1 Month respectively before the trip departure date will result in 100% of the total charged amount that can be reused.

Trip Amendment

Please note that only itineraries and trips listed in these sites are a subject to amendments and cancellation fees. You can find the amendment fees to any changes in the bookings below:

Trip amendments require prior information; the sooner, the better which will also cost you less. If the company receives a request for booking amendment at least 60 days before the original trip departure, you have to pay an amount of only USD 100/ person. But, if you request an amendment in less than 60 days after the original trip departure, the charges will vary as per the cancellation policy. If any amendments are made in the price of the trip within the time of the original booking date and the amendment date, you will be charged with the amended price during the reservation. These fees are in addition to any charges levied by the hotels or any other service providers.

Additional amendments requested to any other arrangements, for example, accommodations, transports, etc. along with changes made in aggregation to other trip reservations will result in an additional charge of USD25 booking per Change. This fee is in addition to any charges levied by hotels, ground operators or airlines.

Note: Please assure that the amendments are requested at least 10-15 day before the departure. The company will not make any amendments to trips that are requested to change within 5 Days of departure. However, if the amendments are to be made due to reasonable circumstances and practicalities, a minimum of 25 USD and up booking will be charged.

Travel Insurance

The company will require an insurance providing protection for all the medical coverage, air ambulance, helicopter rescue services and even sufficient coverage for baggage. Also, a cancellation insurance is highly recommended. You should be aware that some policies do not include, or restrict a cover for this type of travel. Kindly assure that the insurance you have signed up covers all of the activities on the trip that you have picked. The insurance certificate should be carried around at all times when on the trip. In case you are unable to provide the insurance certificate at the very beginning of the trip, you will always get a chance to make a suitable policy before the departure there and then. However, if you are unable to get that as well, then, unfortunately, we will not be able to allow you to continue your trip and no refunds will be given for the services not provided.

Passport and Visa

A valid passport with a visa stamp is a must while traveling with Reasonable Treks and Tour Pvt. Ltd. Just to be on the safe side, we request our customers to make sure that the passports are valid for at least 6 months beyond the duration of the trip. Please make sure that you double check the visas for the country you are traveling to. The company will not be held responsible if the traveler is denied to enter the country because of lack of proper visas and documents.

Note: The Company is not responsible for the travelers who have contravened any law or regulation of any country visited previously.

Facilities and Flexibility

Even with the most planned and careful approaches used to carry out operations while designing the tours, the company cannot totally guarantee the success of the trip. Clients must understand that some unfortunate, unavoidable circumstances may arise that could alter the booking policies or may even require us to make changes in the itinerary. The accommodations, transportations, safety, hygiene, communication facilities, level of infrastructure development and medical facilities as promised by the company might be altered for which a reasonable explanation will be given. Therefore, the clients need to have a maximum degree of flexibility in terms of changes according to the situation. You acknowledge that the trip route, accommodation, and modes of transport are subjected to change without prior notice in case of any unavoidable local circumstances. The trips possess risks of accidents or unfortunate incidents such as illness, riots, political instability, etc. Therefore, make sure you understand that you agree to assume all the risks associated with the journey.

Every trip will be led by a trip leader or a local operator and he/she will hold the authority to make the decisions for the group. As the leader will have to fulfill every individual’s wish; understandings and compromises between the members is a must. Kindly note that the company reserves all right to decline, accept or retain any person as a member of the group at any time, if need be.

Kindly be aware that the company deals with many third parties such as government agencies, staffs and other companies to run the tours. These third parties are picked by the company for their potential to deliver a quality service to us and are in a contract with them. However, the company will not be liable for any changes, damage, loss, delay or irregularity caused by these third parties.

Please note that all the agreements signed are governed by the law of Government of Nepal and not by the agents, staffs or employee of the company. Therefore, no one but only the Government of Nepal along with the Head of the company/ director has the authority to make any alterations in the policy or agreements.

 

Most of the Trip prices exclude the following

  • Personal travel insurance, both Emergency medical services and evacuation
  • Visa, passport, and vaccination charges
  • International flight to/from Nepal and to our destinations of operation and departure airport taxes to the respective countries.
  • Extra meals, transport cost, accommodations, costs and other expenses not included in the itinerary
  • Laundry, postage, personal clothing (unless provided in the itinerary), medical expenses and items of personal nature
  • Emergency evacuation and/or searches and
  • Not mentioned in the itinerary
  • Tips and excess baggage charge

The trip inclusion page with the itineraries listed for each trip holds every detail, therefore, please refer to that page for any inquiries. Please note that the airport transfers during the length of the trip are included in the total trip cost.

The head office of Reasonable Treks and Tour or a specified hotel will be the meeting point for the travelers unless specified otherwise. 

Note: In case of any amendments that are beyond the control of the company, although might be minor changes such as by shortening, varying or re-routing any trip, the customer has to pay the extra charges caused by the alteration in the trip.

Health Conditions

Physical fitness and health is the utmost priority when traveling with us. Clients must get a medical checkup before planning a trip with us. We highly recommend you to consult your doctor and make sure you have the necessary vaccinations and another medical requirement for the trip. It is a must that the clients hand over an authorized medical report prior to the departure or even booking your trips if need be. The company will not be responsible for any accidents if the clients deliberately hide or fail to mention their pre-existing medical problems and conditions beforehand.

Note: During any trek, unfortunate incidents or illness due to Altitude Mountain Sickness is unpredictable. Therefore, the company will not be held accountable for such incidents.

Weather and other unfavorable conditions.

The mountainous region is quite unpredictable in terms of weather. Unfavorable weather conditions can lead to delayed or cancellation of domestic flights. In case of such unavoidable local situations, the company will make sure to provide you with accommodations and foods without any additional cost. However, please note that the company holds every right to reroute or alter modes of transportation for every extended delay without an extra cost. However, if the travelers miss their flight, the company will not pay for the flight cost but the company can arrange alternative strategies or provide support in any way possible with an extra cost.

Although Nepal is generally a safe country to travel in, minor unpredictability and issues may arrive due to the internal political instabilities and civil unrest. We take responsibility to inform our clients about these situations as soon as we come to know of it. You have to understand that even with full effort and management to ensure the correctness of this site, information & brochure we provide, we cannot be held responsible for some minor inaccuracies that are out of company's control. These booking conditions may only be waived in special circumstances, and in writing, by a letter from the Director of the Company.

Note: The Terms and Conditions of all the agreements made with the company shall be subject to, and governed by, the Nepalese Law.

Please read the Terms and Conditions carefully. After agreeing to these conditions, you promise to abide by these rules throughout the trip and we are entitled to assume that you have understood everything that is involved while traveling with Reasonable Treks and Tour.
